Job Description & Responsibilities:

Reporting to HR Generalist, the Administrative Assistant will support the dynamic work environment in Smithville, GA. The Administrative Assistant will work daily to present a professional and organized work environment to the employees and business visitors. This position will be the first point of contact for internal and external management of events. The ideal candidate for this position will be high energy with an engaging and approachable demeanor. This individual should have the ability to operate with a high level of autonomy to work effectively in a high demand environment with many competing demands and priorities. An individual who is outgoing, hard-working, and detail oriented will do well in this position. Reception: Greeting guests and directing them to the appropriate staff member(s). Answering calls and directing inquiries to the appropriate staff member; maintaining company directories. Helping management prepare for upcoming meetings and events; reserving conference rooms, arranging lunches and supplies; providing support throughout the event; setting up and cleaning up. Creating and maintaining office and vendor databases; collecting office related forms. Entering office related purchase requisitions and goods received into SAP and processing all related invoices. Creating and editing publications: event invitations, office announcements and flyers. Making copies and collaborating documents. Manage daily mail operations by retrieving mail from the company PO Box, organizing and processing incoming and outgoing mail, notifying appropriate recipient. Manage FedEx and UPS shipments, including preparing packages, scheduling pickups, and ensuring accurate delivery tracking. Maintaining kitchen and conference rooms, including stocking, cleaning and organizing; ordering office supplies. Communicating with office-related vendors; addressing maintenance issues and scheduling services. Preparing paperwork for new employee onboarding. Updating HR, Buying Points and Operations materials as needed. Assisting with employee engagement initiatives and events. Assisting, organizing, and helping plan HR, Office, Buying Points and Operations related projects and events. Perform all other duties as assigned.

Qualifications:

High School Diploma/GED is required; some college courses preferred. One (1) year administrative support or related experience is required. Strong verbal, written, interpersonal communication skills. Customer service oriented with great people skills. Strong understanding of computer systems and applications including Microsoft Office Suite - Word, Excel, PowerPoint, etc. Previous experience with SAP is a plus. Excellent organizational skills are required. Valid Driver’s License Required. Demonstrated initiative is required. This role is performed on site at a facility that regularly processes peanuts. Employees in this position will routinely work in areas where peanuts and related allergens are present and may be exposed by contact or in the air.
